Guidance on Title Series within the Professional-Track: Clinical Professor and Professor title series

What is a "title series"?

Titles refer to faculty rank titles, such as Assistant Professor, Associate Professor, and Professor. At Dell Med, there are two title series within the professional-track: the Clinical Professor title series and the Professor title series.

    What are the main differences between the two title series?

    • Professional-Track, Clinical Professor title series:
      • Faculty appointed to this title series are expected to demonstrate active participation in academic and educational missions of Dell Med and active engagement in scholarly activities that derive from and support clinical, teaching, and professional service activities. In this title series, scholarship is defined broadly and peer-reviewed publications are not required, although they are encouraged for the rank of Clinical Professor. No geographic reputation is required.
    • Professional-Track, Professor title series:
      • Faculty appointed to this title series are expected to play an active and sustained key role in a program of scholarship in an area of expertise, which includes traditional outputs of scholarship (e.g., peer-reviewed publications) and garners a reputation beyond the University.

      Which title series within the professional-track is best?

      The best title series is the one which is most aligned with the portfolio of work that a faculty member is engaged in.

      Each title series within the professional-track provides a specific pathway for educators, clinicians and research scientists to be recognized for their expertise, scholarly work, and contributions to the school and University.

      Professional-track faculty have a range of portfolios of work, which have the same overall impact, but vary by relative impact and quantity of activities in clinical, educational, and research domains.

      The Clinical Professor title series is aligned with portfolios that are characterized by high-impact clinical and/or educational excellence and leadership activities with institutional impact and less by traditional outputs of scholarship (e.g., peer-reviewed publications) with geographic reputation beyond the institution. In the Clinical Professor title series, scholarship is defined broadly, and peer-reviewed publications are not required.

      The Professor title series is aligned with portfolios that include traditional outputs of scholarship (e.g., peer-reviewed publications), which have garnered a geographic reputation beyond the institution. These portfolios also include clinical and/or educational activities with institutional impact, but these may be less prominent than Clinical Professor title series portfolios.

      Guidance on Title Series Designations and Changes

      Title Series Designations

      For professional-track faculty appointed after November 1, 2023, the title series is designated at the time of the initial faculty appointment. Faculty appointed to the professional-track prior to this date were appointed to the professor title series because the clinical title series did not exist and if they should be in the clinical title series, their title series may be designated at two time points: (1) at the time of the annual faculty evaluation and (2) when the faculty member is preparing to be considered for promotion.

      For professional-track faculty that were initially appointed to the Professor title series prior to November 1, 2023, before the Clinical Professor title series existed: if the title series has not been designated yet, it must be designated by the department chair/department chair designee, after discussion with the faculty member, during the annual faculty evaluation. If the title series is designated as the Professor title series during the annual faculty evaluation, no further action is needed for this designation. If the title series is designated as the Clinical Professor title series during the annual faculty evaluation, the process below should be followed.

      Process:

      1. Title series will be designated on the annual evaluation form.
      2. After discussion with the department chair/department chair designee, the faculty member will sign the annual evaluation form. The signed evaluation form indicates that the faculty member has discussed the title series designation with the department chair/department chair designee and consents to the title series designation.
      3. In collaboration with the Department, Dell Med HR will compile and audit the list of faculty who have been designated in the Clinical Professor title series on the annual evaluation form.
      4. Effective date of title series designation will correspond to date the annual evaluation form was signed by faculty member.
      5. Dell Med HR will send title series memo to the faculty member for review/signature via email. Department chair, chair designee, associate chairs responsible for faculty academic affairs, division chief (as applicable), and departmental faculty affairs representative will be cc’d on the email.
      6. Dell Med HR will route the title series designation request to Academic Personnel Services via the Provost’s Office portal. The request will route to the dean/dean designate for review/approval. It will then route to Academic Personnel Service staff for review/approval.
      7. Upon final approval, Dell Med HR will process the title series designation in Workday.

      For professional-track faculty that were initially appointed to the Professor title series prior to November 1, 2023, before the Clinical Professor title series existed, and who will go up for faculty promotion in the Clinical Professor title series, but have not had this title series designated previously: the title series will be designated by the department chair/department chair designee, after discussion with the faculty member, prior to when the department solicits internal/external letters for the faculty promotion dossier. If the title series is to be designated as the Clinical Professor title series (prior to the department soliciting internal/external letters for the faculty promotion dossier), the process below should be followed.

      Process:

      1. Faculty member will send email to OFAA and Dell Med HR. Department chair/department chair designee, associate chairs responsible for faculty academic affairs, division chief (as applicable), and departmental faculty affairs representative will be cc’d on the email. The email will indicate that their department chair/department chair designee has designated their title series. The email will serve as faculty member’s consent to designate the title series.
      2. Effective date of title series designation will correspond to date of the email from the faculty member.
      3. Dell Med HR will send title series memo to the faculty member for review/signature via email. Department chair, chair designee, associate chairs responsible for faculty academic affairs, division chiefs (as applicable), and departmental faculty affairs representative will be cc’d on the email.
      4. Dell Med HR will route the title series designation request to Academic Personnel Services via the Provost’s Office portal. The request will route to the dean/dean designate for review/approval. It will then route to Academic Personnel Services staff for review/approval.
      5. Upon final approval, Dell Med HR will process the title series designation in Workday.

      Title Series Changes

      Title series changes are distinct from designation of title series, which occurs at the time of initial appointment, and for professional-track faculty appointed prior to November 1, 2023, also at the time of annual faculty evaluation or during the faculty promotion process (prior to the department soliciting internal/external letters for a faculty promotion dossier).

      Current policy allows for faculty to change title series without an absolute limitation on the number of title series changes that can be made.

      • Professional-track faculty members in the rank of assistant or associate professor may be moved to the clinical assistant or clinical associate title series, respectively, if merited as evidenced by the fundamental philosophy, principles, and expectations for faculty promotion as outlined for this professional-track title series.
      • Professional-track faculty members in the rank of clinical assistant or clinical associate professor may be moved to the professional-track assistant or associate professor title series, if merited, as evidenced by the fundamental philosophy, principles and expectations for faculty promotion as outlined for this professional-track title series.

      Upon discussion with the department chair/department chair designee, professional-track faculty may change title series within the professional-track during the annual faculty evaluation process.

      Process:

      1. The title series change will be indicated on the annual evaluation form.
      2. After discussion with the department chair/department chair designee, the faculty member will sign the annual evaluation form. The signed evaluation form indicates that the faculty member has discussed the title series change with the department chair/department chair designee and consents to the title series change.

      Upon discussion with the department chair/department chair designee, professional-track faculty may change title series within the professional-track during the promotion process (prior to the department soliciting internal/external letters for a faculty promotion dossier).

      Process:

Department chair, department chair designee, associate chairs responsible for faculty academic affairs, division chief (as applicable), and departmental faculty affairs representative will be cc’d on the email. The email will indicate that their department chair/department chair designee has changed their title series. The email will serve as faculty member’s consent to change the title series.
      2. Effective date of title series change will correspond to date of the email from the faculty member.
      3. Dell Med HR will send title series memo to the faculty member for review/signature via email. Department chair, chair designee, associate chairs responsible for faculty academic affairs, division chiefs (as applicable), and departmental faculty affairs representative will be cc’d on the email.

      Professional-track faculty may change title series within the professional-track outside of the annual faculty evaluation and faculty promotion process, if merited, as evidenced by the fundamental philosophy, principles, and expectations outlined for the professional-track title series.

      Process:

      1. After discussion with the department chair/department chair designee, faculty member will send email to OFAA and Dell Med HR to request a title series change. Department chair, department chair designee, associate chairs responsible for faculty academic affairs, division chief (as applicable), and departmental faculty affairs representative will be cc’d on the email. The email will indicate that their department chair/department chair designee has changed the title series. The email will serve as faculty member’s consent to change the title series.
      2. Effective date of title series change will correspond to date of the email request to OFAA and Dell Med HR.
      3. Dell Med HR will send title series memo to the faculty member via email. Department chair, chair designee, associate chairs responsible for faculty academic affairs, division chief (as applicable), and departmental faculty affairs representative will be cc’d on the email.
      4. Dell Med HR will route the title series change request to Academic Personnel Services via the Provost’s Office portal. The request will route to the dean/dean designate for review/approval. It will then route to Academic Personnel Services staff for review/approval.
